About

NYU Event Check In (ECI), is an attendance tracking service create by NYU IT. With Event Check In, student club organizers and department leaders can easily create, track and analyze events at NYU simple and free. With clear hierarchy and convenient sync features, managing your groups and events will take no more than a simple click.

Currently, ECI is being used frequently in student affairs, club events, AMC, NYU HR, and Public safety. Even more organizations and groups are planning to have it in their daily events. It has an official website and IOS application.

Up to now, NYU ECI has recorded over 38,000 events. ver 270,000 checkins have been collected.

Design Process

As a POC (Proof of Concept) team, we started to build NYU Event Check In from scratch. Through problem validation, user research, design and test, we managed to bring ECI to a larger stage.

Based on our research, departments and schools of NYU currently are using NYU Engage (OrgSync) to manage events and checkins. 

Pain points: 

1. When checking people in, there is no way to find out checkin time; checkins are not updated in real-time.
2. The hierarchy relationship in NYU Engage is not clear enough. Definition of "Organization", "Umbrella", "Category" are hard to understand. 
3. Cannot analyze checkin data. Administrators can only download data and analyze by themselves.

Build Web/App for NYU community to better manage events and check in people.

Swipe/Scan/Manual Check in

Events Check In allow users to check in attendants in different ways. Users can use swipers or RFID Scanners to check people in by NYU ID. If the guest is external NYU, he/she can be checked in by manually enter name and email address.

Whitelist

A list for organizers to decide who are allowed to attend the event. For example, some of the events are only for people who are 21+. With a whitelist, organizers can manage attendance and only check in people in the whitelist. If the person is not a member of the whitelist, administrators can either check in the person as a Non-WL (Non-Whitelist) guest, or add the person into the whitelist.

Quick Check In

A convenient mode for student organizers to collect checkins. With quick check in, student helpers can check attendants in without having access to their detail personal information. It’s great for keeping privacy and information safety.

Engage Sync

Users can easily sync groups and events from Engage to Events Check In. Once import the url from Engage, the system will sync automatically.

Dashboard

A data dashboard is built for users to analyze their organization/group/events/checkins. Users can check the most popular events in their group, numbers of first-time visitors, etc. They can also compare events attendance and group tendency.
